Couple Reminders

  1. Leader Compliance for your leaders going to camp on staff resources(staff Volunteer Roster is best place to see if they are all compliant) and Leader Training on YLAccess(Call me if you need help).
  2.  When traveling, call the number on the back of your p-card to let them know.
  3. If you are going on vacation, let Keith know and also put an out of office on your phone and email.
  4. Keep pursuing kids to take to camp and give your leaders a vision to keep reaching out to kids.
  5. Enjoy this incredible state God has blessed us to live in!
  6. Shannon is on vacation July 4-9 and will be out of cell and internet range for most of that time.

Team Leader Job Description

Here is the Team Leader Job Description. We will be having an overnight October 1-2 just for Team Leaders at Fairmont Hot Springs so let them know so they can save the date.

An exciting new Online Health Form feature for you!!!!

Instructions to print this form:

  • Login to the  Camping Health Consent and Release application using the Admin Login in the upper right hand side. (If you don’t know about this, someone from your area should have permission to access the Admin portal so they can check all the forms. Call your regional office for training if this is unknown to all leadership in your area, particularly if you are a volunteer lead area.)
  • Navigate to the Current Year Tab
  • View the upcoming trip (using filters if necessary)
  • Select individual campers using the checkbox by their name (or the select all checkbox in the upper right hand corner) to select all individuals on this trip
  • Click the Print button
  • Click Selected Travel Short Form:

This will generate a PDF in a new tab for the trip leader to print. Please note that these forms need to be printed one sided, so that every camper/leader has their own page because of the HIPAA information that is shown. If the camper has started a form, but it is not yet complete, an “Incomplete” watermark will be shown across the page and limited information will be printed on the form.

Please note that we do not want these pages at camp. This functionality is simply to cover your travel to and from camp.

How is the YL Access training going?

Helpful Hints:

  1. Chrome doesn’t play nice with YLAccess so use Firefox or another engine.
  2. The invite to volunteers does expire so even if they don’t have time to do the training right now, encourage them to accept the invite so they can log in before camp at their convenience.
  3. Are your leaders able to log in and complete the training? Are you able to see their responses? Remember to forward their response

Payments

Payments can be made online for each camp trip in 2 ways. You can send out an emails to specific individuals that will show them their current balance using this link on the campers tab in camp trip manager.

Pcards prep before camp

  1. Call the number on the back of your card to let them know you are traveling out of state.
  2. Also, ask what your credit limit is to be sure you have enough for the expenses of the trip and any emergency costs that might arise.

FY16-17 Regional Calendar Date Request

In the next few weeks we are asking you to get clarity on your personal and area calendar.  Within that window we need you to fill out our Regional Calendar Input Google Doc with your personal and area dates.(This regional calendar request is not to be confused with your area ministry calendar that is due  June 12.) This will help us complete the calendar of Regional events for next year.  This is your chance to give us the dates you’d like the Region to try to stay clear of in planning our meetings, trainings and events for FY16-17.

Protecting Personal and Confidential Information

In February Risk Management and HR developed a new Employee Confidentiality and Non-Disclosure Agreement that Employees were required to sign when we logged into staff resources.

The volunteer version of this agreement has now been completed and is scheduled to be added to the Volunteer/Staff Resources Landing Page on Wednesday, May 11, 2016. Volunteers will need to read through this agreement and sign off before they can continue into staff resources. Please see the attached screen shot of the agreement and the attached memo from Paul Sherrill and Reid Estes for more information.

Background Checks for Committee People Working with Kids

If you have committee members who are working with kids they need to complete a Criminal Background Check.  In order to get committee folks screened, please direct them to this site on staff resources to initiate that criminal background check. This is the best site on staff resources for committee to use. If you send them to this leader screening site, the committee person receives an error.

Is Your P Card Ready for Camp?

As camping season is rapidly approaching and staff are preparing to travel to Young Life Camps with their excited campers, we’d like to share some helpful hints as you prepare for your trips!

P Card Increase
Does your P Card need an increased spending limit to cover large expenses like a bus deposit/bill, stops along the way to camp with the kids (i.e. amusement park, rafting, hotel, etc.)?  Email Shannon if you need an increase, include what the new amount you requesting and what months you need the increase.
P Cards & Travel
Anytime a P Cardholder travels outside of their normal area, Bank of America will put a Fraud Alert on that person’s card.  This freezes the card and will not allow any charge to go through regardless of the amount. This is a preventive measure by the bank until they can contact the cardholder to verify the charges are legitimate.  While this is a great system to have in place to prevent fraud charges, it may cause problems for the Young Life Leader/Staff person when their card is denied.  To prevent this, before traveling outside their home charge area, staff should call the number on the back of their Bank of America P Card and have their account noted with the travel places/cities and dates.
Invoice/Check Requests
Know when your bus balance is due, or other time sensitive bills pertaining to your upcoming camp trip, and submit your check requests accordingly.  Be sure to include a detailed copy of the invoice along with a W9 if needed (this is needed for any services provided).  Processing time for check request is 3 – 5 business days.
Wires
In case of emergency the Service Center can wire funds to a vendor.  You would need to submit an Invoice request in Concur and make sure to change the Payment Request Type to ‘Wires’.  For a wire to be sent out the same day, you must have the approved request to the P Card team by 10:00 AM MTN time.  You can refer to the Wire Request Quick Reference Guide for assistance.

YL Regional Eastern Women’s weekend April 29-May 1

Is Your P Card Ready for Camp?

Our friend Lori Kiel in the Accounts Payable Department has some great thoughts on P Cards for the summer.
As camping season is rapidly approaching and staff are preparing to travel to Young Life Camps with their excited campers, we’d like to share some helpful hints as you prepare for your trips!
P Card for Volunteers
Do you have volunteers taking kids to camp this year that will need to pay for YL camp expenses while traveling?  Consider requesting a P Card for these volunteers to assist them while traveling to and from camp.  You can set the P Card limits on the card to the specific needs of your volunteer. Regional Admins set up volunteers with P Cards the same way staff are set up with a P Card.  Be sure to allow 5-7 business days to get someone a P Card. Call/Email P Cards if you need assistance.
P Card Increase

MC&U Camp Scholarship Application – DUE FRIDAY

The process is a little different this year as each application will be approved first by your Regional Director. You will hear from your RD if your application is not accepted and from the MC&U Office with further directions if it is. A confirmation e-mail from wufoo along with a copy of your submission will be sent to your e-mail immediately after sending, please be on the lookout.
Please remember this scholarship is for the greatest at risk areas, in order to maximize the funds for areas that need this scholarship we ask that only ministry areas where 55% of the kids involved are kids of color or kids who are from under-resourced, at-risk communities. If your ministry area qualifies please complete the application before April 15th.
UPDATE: Both NPSR & SPSR please use AF91 for the region number.

Male Work Crew at WFR

WFR is aware of conflicts with the academic calendar and would like to accommodate those who would be willing to serve on Work Crew but cannot leave school early to do so.

–          Due to low registration numbers for male Work Crew applicants, new male applicants will now have the option to arrive at camp on the last day of Session 1 Week 1 (as of 4/6 there are 12 male work spots available at both 1st session Canyon and 1 session Creekside)

–          This offer is limited to male applicants for Session 1 at either Creekside or Canyon, who are applying on or after March 30th, 2016. All current applicants must arrive on the first day of their session. Applicants must be willing to remain throughout their session, with no early departures.

–          Adjusted arrival for Canyon is June 17th and adjusted arrival for Creekside is June 15th.  All other Work Crew information and registration process remains the same.

–          Work Crew applicants must be responsible for their own transportation to camp; the shuttle will not be running from PDX on those days. However, they may be able to book a return seat, as space is available.

If you have male work crew that can take advantage of this late arrival option please complete the online recommendation and application.  Please email Chanda the names of the work crew that are applying and what day they will arrive to camp.

Budget Season

The Fiscal Year 2016-2017 Budget Process is approaching quickly. While we normally begin this process in April of every year, this year the budget process will begin on May 2nd.  Our wonderful team in Information Systems is helping to wrap up some enhancements to the Cash Flow Budget Tool, and so it was worth delaying the budget process just a bit in order to incorporate those enhancements.  Here is the complete budget timeline

 Use Camp Trip Manager

I know that some of you have a tried and true way you have always kept track of your camping information, possibly an excel spreadsheet, or handwritten records, but this year we are wanting everyone to use the camp trip manager on staff resources. It is an amazing application with all kinds of time saving tools to help you keep track of your camp trips. Plus, it allows us to help you on our end & to be in the know. This is also extremely helpful when there is a transition in areas so that when you pass the torch, they have a history to look at and not as much work the next year.

Adult Guest Program

 

Adults can have “the time of their lives” at camp, too.

Being an adult guest at a Young Life camp is always a tremendous experience for friends of Young Life — people love it! It often changes people from just having an interest in Young Life to a real commitment to our mission. Treat it as a significant opportunity for your area to get adults to be guests at one of our Young Life camps. Here is the registration form for Adult Guests in your area.

Staff-Volunteer Roster and Volunteer Manager Updates

Screening ComplianceIn the month of April, please look at your Staff-Volunteer Roster to follow up with staff and volunteers who may need to update their CBC or Faith & Conduct Statements. Please review your roster and look for any red. This will be a big requirement if any of your volunteers are working at camp this summer on summer staff, work crew or are going as leaders to camp. Please make this a priority.

Also, look at your Volunteer Manager to make sure their account won’t expire during the summer or they won’t be able to sign into their account, but also if they hold a PCard, that expiration is attached to their PCard being active.  Thanks!

This is a great time of year to update your Area’s mSite. This is a great place for parents and potential campers to go and sign up for camp. While your Area prepares and starts camp sign ups and if it might work better for you to put your sign up links on your mSite instead of Facebook. mSite’s might be a better way for parents to see and stay in the loop with camp information too! Thoughts on getting kids signed up for camp   

A couple of years ago we only had 1/3 of our spots filled at this time of year. I knew there were some kids who wanted to go to camp but they didn’t always come to club. So we planned a bbq at one of their houses and had them invite all of their friends. We hung out and showed the camp video and then invited them to come with us to camp. We signed up 15 high school guys for camp that night.  

Here are a couple of things to think through:

Who are some key kids that could hold this at their house and invite their friends who do not come to camp?

Who are some key parents of kids who know other parents that you could host a camp info night at one of their houses? This applies more to Wyldlife but could apply to HS.

Who are some teachers that would let you put up flyers in their class room and if the school allows it will allow you to bring in Pizza and show the camp video at lunch.

CLDI & YL PAID INTERNSHIPS

In Billings we work closely with CLDI.  CLDI offers an great discipleship internship program and all interns are also Young Life or Wyldlife leader.  If you know of anyone graduating from college and looking to get into ministry this a great opportunity. Here is a list of some of our current leaders and staff and Billings that have gone through this program: Anna Fowler, John Geiger, Kaylee Bradford, Muriah Stahl, Drew Thompson, Sara Beth.

CLDI is looking for college-graduates to intern with us as part of a 9-month PAID internship (SEPT-MAY) to be part of our Christian community development work in a low-income community of Billings, MT. The internship includes: 1) housing in the community we serve (to practice ‘incarnational’ ministry) 2) a 35 hour/week internship opportunity (varying from work with at-risk youth, young mothers and their babies, pastoral care, church planting, etc.); 3) weekly discipleship and reading assignments; and 4) an exposure to the 10/40 Window in the spring. Montana/Northern Wyoming Camp Leader training

It is our goal that every leader who goes to camp this summer will be well training and prepared for a week at camp with kids.  To help ensure this happens we have created a camp leader training program that needs to be completed by every leader who is going to camp this summer.  All of the training will be done online through YL access along with a camp leader training time in your local area.  Each area will set up their leaders on their YL access account and send the Summer camp leader orientation to them. If you need help with this please contact Shannon Fair.

There is an 8 part camp leader training course that will need to be completed.  That included the following topics.

  1. Introduction and Philosophy of YL camping.
  2. Young Life camping non-negotiables
  3. Understanding your role in “leader centered camping”
  4. Being a leader and keeping kids safe
  5. Cabin time: “don’t fear the silence”
  6. Cabin time: “Sample Questions and helpful scripture
  7. Mastering one on one conversations
  8. A thank you and a simple glimpse of the end.

 

We also recommend the following as well:

  1. Training for 1st time leaders at camp
  2. Move kids from spectators to participants
  3. Camp follow up: dont drop the ball

The purpose of this email is to officially launch our 2016 High School Graduate Campaign. On behalf of the thousands of Young Life graduates you will be serving, thank you! The importance of this effort cannot be overstated when it comes to the short-term impact in kids’ lives, or the long-term impact on our mission. Understanding that you have a lot going on, I will try and keep this email brief and to the point…

On April 21, the budget season will begin! As you are meeting in the coming weeks with your Committee, and staff, you may want to review some items before the Preliminary Budgets are sent out and go through the training. The process is the same as last year. Don’t drop spots without reading this!!

If your camp week’s “Available Beds” is listing a negative number, do not call camp to drop spots!  Call other areas that have spots that week to see if they need any extra first or those spots will be lost.

There is a simple camp reservations fact that some of your staff may not understand.  The “Waiting to ADD” list is not a true waiting list, it’s a classified ad.

Let me break down the case of Malibu Week 6 pictured above:

  • There are -35 beds at Malibu week 6.
  • Sydel McKim in WA420 Mercer Island is on the “Waiting to ADD” list for 10 spots.
  • If any area calls Malibu and drops 10 spots on April 1, those spots will not go to Sydel McKim!  They will just reduce the number of negative beds by 10.
  • If that area had called Sydel in WA420 FIRST, they could have given her the spots and not given back to camp!

All of this is spelled out in the camping handbook, but too many staff think they have to give their spots back to camp, rather than look out for another area who may need spots first.

From the camping handbook:  Trading Camp Spots: Areas may negotiate trades of camp spots at any time. Camps will always honor trades between areas. To complete a trade, all areas involved must confirm the trade with the camp office via email.

Bottom line… if you have areas that will be dropping spots April 1, encourage them to:

  1. Check and see if their are a negative number of available beds their week.  (more common at small camps like Malibu and Frontier)
  2. Have then contact every area (whether on the “Waiting to ADD” list or not) to see if they want the spots BEFORE they give them back to camp.
  3. If an area wants the spots, whether just a few or all of them, then both areas need to notify camp of the trade and it will be approved.

It’s amazing to think that a simple check of the website and a phone call to another area could get even one more kid in front of the Gospel who may have stayed home otherwise.  Let’s make sure all your people know they can help other areas get more kids to camp before they drop a spot!
