Thoughts on getting kids signed up for camp   

A couple of years ago we only had 1/3 of our spots filled at this time of year. I knew there were some kids who wanted to go to camp but they didn’t always come to club. So we planned a bbq at one of their houses and had them invite all of their friends. We hung out and showed the camp video and then invited them to come with us to camp. We signed up 15 high school guys for camp that night.  

Here are a couple of things to think through:

Who are some key kids that could hold this at their house and invite their friends who do not come to camp?

Who are some key parents of kids who know other parents that you could host a camp info night at one of their houses? This applies more to Wyldlife but could apply to HS.

Who are some teachers that would let you put up flyers in their class room and if the school allows it will allow you to bring in Pizza and show the camp video at lunch.

CLDI & YL PAID INTERNSHIPS

In Billings we work closely with CLDI.  CLDI offers an great discipleship internship program and all interns are also Young Life or Wyldlife leader.  If you know of anyone graduating from college and looking to get into ministry this a great opportunity. Here is a list of some of our current leaders and staff and Billings that have gone through this program: Anna Fowler, John Geiger, Kaylee Bradford, Muriah Stahl, Drew Thompson, Sara Beth.

CLDI is looking for college-graduates to intern with us as part of a 9-month PAID internship (SEPT-MAY) to be part of our Christian community development work in a low-income community of Billings, MT. The internship includes: 1) housing in the community we serve (to practice ‘incarnational’ ministry) 2) a 35 hour/week internship opportunity (varying from work with at-risk youth, young mothers and their babies, pastoral care, church planting, etc.); 3) weekly discipleship and reading assignments; and 4) an exposure to the 10/40 Window in the spring. Montana/Northern Wyoming Camp Leader training

It is our goal that every leader who goes to camp this summer will be well training and prepared for a week at camp with kids.  To help ensure this happens we have created a camp leader training program that needs to be completed by every leader who is going to camp this summer.  All of the training will be done online through YL access along with a camp leader training time in your local area.  Each area will set up their leaders on their YL access account and send the Summer camp leader orientation to them. If you need help with this please contact Shannon Fair.

There is an 8 part camp leader training course that will need to be completed.  That included the following topics.

  1. Introduction and Philosophy of YL camping.
  2. Young Life camping non-negotiables
  3. Understanding your role in “leader centered camping”
  4. Being a leader and keeping kids safe
  5. Cabin time: “don’t fear the silence”
  6. Cabin time: “Sample Questions and helpful scripture
  7. Mastering one on one conversations
  8. A thank you and a simple glimpse of the end.

 

We also recommend the following as well:

  1. Training for 1st time leaders at camp
  2. Move kids from spectators to participants
  3. Camp follow up: dont drop the ball

Thank you for investing in kids and sharing life with them for a week at camp.  We know and trust that the Lord is going to do great things.

The importance of this effort cannot be overstated when it comes to the short-term impact in kids’ lives, or the long-term impact on our mission. Understanding that you have a lot going on, I will try and keep this email brief and to the point…

Budget Season

On April 21, the budget season will begin! As you are meeting in the coming weeks with your Committee, and staff, you may want to review some items before the Preliminary Budgets are sent out and go through the training. The process is the same as last year. If you are new to staff or need a refresher, please review the online cash flow training in the link below. Further information will be provided to you through the Monday Morning and direct communication from the Regional and Financial office. Don’t drop spots without reading this!!

If your camp week’s “Available Beds” is listing a negative number, do not call camp to drop spots!  Call other areas that have spots that week to see if they need any extra first or those spots will be lost.

There is a simple camp reservations fact that some of your staff may not understand.  The “Waiting to ADD” list is not a true waiting list, it’s a classified ad.

Let me break down the case of Malibu Week 6 pictured above:

  • There are -35 beds at Malibu week 6.
  • Sydel McKim in WA420 Mercer Island is on the “Waiting to ADD” list for 10 spots.
  • If any area calls Malibu and drops 10 spots on April 1, those spots will not go to Sydel McKim!  They will just reduce the number of negative beds by 10.
  • If that area had called Sydel in WA420 FIRST, they could have given her the spots and not given back to camp!

All of this is spelled out in the camping handbook, but too many staff think they have to give their spots back to camp, rather than look out for another area who may need spots first.

From the camping handbook:  Trading Camp Spots: Areas may negotiate trades of camp spots at any time. Camps will always honor trades between areas. To complete a trade, all areas involved must confirm the trade with the camp office via email.

Bottom line… if you have areas that will be dropping spots April 1, encourage them to:

  1. Check and see if their are a negative number of available beds their week.  (more common at small camps like Malibu and Frontier)
  2. Have then contact every area (whether on the “Waiting to ADD” list or not) to see if they want the spots BEFORE they give them back to camp.
  3. If an area wants the spots, whether just a few or all of them, then both areas need to notify camp of the trade and it will be approved.

It’s amazing to think that a simple check of the website and a phone call to another area could get even one more kid in front of the Gospel who may have stayed home otherwise.  Let’s make sure all your people know they can help other areas get more kids to camp before they drop a spot!

As a reminder, Friday, March 25th is a Young Life holiday for full-time Young Life staff.  Please take this time.  If you haven’t had a day away, this would be a wonderful day to take and meditate, pray, reflect.  We hope that you will have a meaningful Good Friday holiday.

 R2 is just around the corner- April 1

If submitting a number different from your R1, check with Keith & the areas you are riding with as an increase or decrease in numbers affects your transportation costs. 

April 1st R2 camp reservations are due by email to camps. To confirm your camping reservations, you must make a $20 pre-registration deposit on or before April 1 for each spot you wish to reserve for campers and leaders which is transferred automatically from your campership account when you send your R2 to camp.  Please make sure there are sufficient funds in your campership account to cover the transfer. All contracts must be returned to the camp, even if you are dropping all spots!

R2 is a firm commitment between your Area and the property. Your Area is guaranteeing to bring at least 90% of the full reservation. Please contact Shannon if you have questions regarding this process.

Action Item: Return your camp contract(s) to the applicable property(ies) no later than April 1.

Nannies and Work Crew for our regional YoungLives camp

Want a great opportunity for your College & High School campaigners, committee members looking to get involved or leaders looking for a short outreach this summer? It is also makes a huge impact on the teen moms and their babies by showering the love of Jesus on them. Consider signing up to serve as a Nanny or Work Crew at our YoungLives camp June 14-17 in Clyde Park at the Double T Ranch. Here are the registration forms for Nannies and for Work Crew. Each applicant will need to be added as a volunteer on volunteer manager and complete the background check and faith & conduct.

Women’s Retreats in the East & West

I am so excited to announce that we will be having 2 Women’s Retreats this year, one in Whitefish and one in Story, WY!! Also, they will be free!
So our Western retreat will be April 1-3 in Whitefish at the beautiful mountain home of the Jepsens. We have room for 10 ladies for sleeping accommodations, but more can come if you live close and if you only have time for a day visit, all are welcome to join us on Saturday. There will be wonderful food, plenty of relaxation, fellowshipping and refreshing in the Lord.  We will arrive around 7pm on Friday and depart around 10am on Sunday. Sunday would be a great day to ski and we have a few tickets available at $46 or you can purchase some at Costco for $55. Register here. Please register by March 24th.
Our Eastern retreat will be April 29-May 1 in Story, WY. Becky Brown will be hosting us at her beautiful retreat Center. We have accommodations for 15 ladies. There will be wonderful food, plenty of relaxation, fellowshipping and refreshing in the Lord. I will send out details of what to bring when we get closer. We will arrive around 7pm on Friday and depart around 10am on Sunday. Register here. Please Register by April 15th.

The importance of the invite

On Monday night at our club in Billings I was in charge of announcements.  I came out in character as a Scottish games trainer to get kids ready for camp.  I was even wearing a kilt.  Announcements are one of the things that we usually just put someone in to ready what is coming up.  But it is a critical part of the club.  And of course I talked about Malibu and told kids they need to sign up because it is going to be awesome.  As I was driving home, I was thinking about how critical it is to personally invite kids to camp.  I even made this mistake Monday night.  I told kids to sign up, not to sign up and come to camp with us.  It is like telling a kid they should go to dinner at Olive Garden instead of inviting them to dinner with you.  I hope that in the next season all of us focus on inviting kids to come to camp with us.  Keith

Thank you for sending in your priority lists and getting your work crew applications and recommendations into the Regional office. Shannon and Keith are in the preliminary process of selecting applicants and placing or waitlisting applicants in potential camp sessions. This is a process.

This is important. Please remember, NOTHING is official until your applicant has heard directly from the camp property of their placement and status.

We’d hate to have a kid be told they are placed somewhere, only to later find out from the camp that they have been waitlisted or not gotten in at all.

Please notify your applicants that they will not hear anything official until sometime after March 16 and they will be hearing from the camp directly of their status.

R2 for Camp Contracts – April 1
